Job Summary

Position Summary

Purpose is to ensure that the administration of the Shared Service Centre (SSC) is spotless; all records are treated with the correct level of security, are filed accordingly and maintained where required to do so. Due to the growth of the SSC the person must act in a versatile manner, be hands-on and support other functions readily.

You will be a self-starter with an ambition to grow as well as be responsible for the visa applications, document integrity and co-ordination with the PRO. You will look into training schedules and liaise with the regional office with development plans and liaise with the SSC Finance Management persons respectively.

The Coordinator must ensure Personal Development Plans (PDPs) are being followed and highlighting any deviations to the Management persons so they may guide/mentor/coach team-members.

You must work methodically and be people orientated. Confidentiality must be a key pillar for this role as they will be privileged with Personnel files. Collaborative attitude will be held in high-regard.

What will I be doing?

Average Percentage of Time

20% - Types, photocopies and or files financial and other relevant letters, correspondences, memos, e-mails and reports prepared and/or required by the accounting department.

20% - Supports the SSC function by being hands-on with multiple departments and providing assistance where required on their own initiative

10% - Prepare and distributes written correspondences for the Director of Finance & the Finance Manager.

5% - Answers phone calls and directs them to the appropriate desk within the department and or take messages.

5%- Ensures team members are up to do date with PDPs and are escalating learning issues to relevant managers.

5% - Liaise with banks, government entities, and relevant suppliers regarding enquiries on services required etc.

5% - Controls distribution of SIM cards, mobile phones and other devices in the SSC, whilst liaising with Service Providers when a new connection is required etc.

5% - Plans team member relation activities and champions effective team building sessions in a cost-effective manner

5% - Maintain log books for relevant departments

5% - Manage HR administration such as but not limited to: contracts, letter, on boarding, off boarding and personnel files.

5% - Ensure completion of training for security, fire regulations and other health and safety legislation.

5% - Ensure pay reviews/absence monitoring/wage queries are managed in line with company guidelines

2% - Prepares monthly attendance for the finance team.

2% - Updates Payroll system with relevant information as and when required.

1% - Compiles financial data into files and folders as and when required.

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.

Assists office in other administrative duties as needed;
Performs other duties as requested by Director of Finance and/or Finance Manager and/or department team.

Required Qualifications:

Educated up to High School level.

Preferred Qualifications :

Previous experience working as an administrator, within a finance and HR environment. would be highly advantageous.
